How to evaluate the performance of a healthcare service?

Published on
May 21, 2024

Evaluate the performance of your healthcare service is quite hard to do but possible though.

The thing is, which indicators should you track to be able to gauge your performance ?

And also, how can you boost one or the other ?

First, let’s define what performance in healthcare truly means.

What does performance in healthcare mean ?

Performance in healthcare includes a wide range of factors that collectively determine the effectiveness, relevance and quality of the services provided. Performance in healthcare can be understood through several key dimensions…

The indicators to evaluate the performance of your healthcare service

Clinical effectiveness

This refers to the ability of healthcare services to achieve desired health outcomes. It involves using evidence-based practices to provide care that is scientifically proven to result in positive patient outcomes. Clinical effectiveness is often measured by indicators such as :

  • recovery rates,
  • mortality rates,
  • and the success of treatment protocols.

Patient safety

Ensuring that patients receive care without suffering preventable harm is a critical component of healthcare performance. This includes minimizing medical errors, preventing infections and ensuring that procedures are carried out safely.

Metrics like :

  • the incidence of hospital-acquired infections
  • medication errors,
  • and surgical complications

are commonly used to gauge patient safety.

Patient experience

The overall experience of patients, including their satisfaction with the care received, plays a significant role in assessing performance. This involves evaluating aspects such as :

  • communication with healthcare providers,
  • the responsiveness of the service,
  • the comfort and dignity provided during care.

Patient surveys and feedback are vital tools for measuring this dimension.

Operational efficiency

This dimension looks at how resources are utilized within the healthcare service to deliver care. Efficient operations mean that healthcare services are delivered in a timely manner, resources are used optimally, and waste is minimized.

Key indicators include :

  • average wait times, ⌚
  • bed occupancy rates, 🛌
  • and the cost of care delivery per patient 💰

Equity of care

Performance also involves ensuring that all patients have access to the same quality of care, regardless of their socioeconomic status, ethnicity, or geographic location.

Equity in healthcare is measured by examining disparities in health outcomes and access to services among different population groups.

The role of governance in driving positive change in healthcare

Financial sustainability

For a healthcare service to be sustainable, it must manage its financial resources effectively. This means balancing the costs of providing care with the funding available, ensuring that the service can continue to operate and improve over time.

Financial performance indicators include :

  • budget adherence,
  • cost per treatment,
  • overall financial health of the institution.

4 KPI your healthcare organization should keep in mind

1. Patient Satisfaction Score (also called PSS)

High patient satisfaction is often correlated with better patient outcomes and can indicate the quality of care and patient experience.

2. Hospital Readmission Rate

Tracks the percentage of patients who return to the hospital within a specific period (usually 30 days) after discharge.

A lower readmission rate suggests effective treatment and discharge planning, indicating good initial care quality and patient management.

3. Average Length of Stay (ALOS)

Why it matters : This KPI helps in assessing the efficiency of patient care processes. Shorter stays can indicate efficient care, while excessively short stays may compromise care quality.

4. Cost per Patient

This KPI is quite interesting for financial sustainability, helping to monitor and control healthcare costs while ensuring quality care. Efficient cost management without compromising care quality is vital for long-term operational success.

The implementation of a continuous improvement program

Implementing a continuous improvement program in a healthcare institute involves several key steps to ensure that processes are constantly evaluated and enhanced.

1. Set clear, specific, and measurable goals for the continuous improvement program.

Goals should align with the overall mission and vision of the healthcare institute.

Ensure commitment from top leadership. Continuous improvement should be a priority for the entire organization, starting from the top.

2. Create a Continuous Improvement Team

Form a multidisciplinary team with representatives from various departments, including clinical staff, administrative personnel, and support services. Clearly define roles and responsibilities within the team to ensure accountability.

3. Develop a Framework and Methodology.

Adopt a continuous improvement methodology such as Lean, Six Sigma, or Plan-do-check-act (PDCA) cycles. Standardize processes to create a baseline for measuring improvements.

4. Provide training for all staff members on the chosen methodology and tools.

This may include workshops, seminars, and hands-on training sessions.

Leadership Training: Equip leaders with the skills to support and drive continuous improvement initiatives.

5. Collect data on current processes, patient outcomes, and performance metrics to identify areas for improvement. Implement feedback mechanisms to gather input from staff, patients, and other stakeholders.

6. Prioritize improvement projects based on their potential impact on patient care, operational efficiency, and feasibility. Allocate resources, including time, budget, and personnel, to the prioritized projects.

7. Start with pilot projects to test new processes or improvements on a smaller scale before full implementation. Implement changes incrementally to manage risk and allow for adjustments based on feedback.

8. Establish key performance indicators (KPIs), such as the ones we mentioned earlier to measure the success of improvement initiatives. Conduct regular reviews of progress towards goals and adjust strategies as needed.

9. Encourage all staff members to identify and suggest improvements in their daily work.

Recognize and reward contributions to continuous improvement efforts to motivate and engage staff.

10. Once improvements are validated, standardize the new processes to ensure they are maintained. Provide ongoing training and support to sustain improvements and adapt to new challenges. Maintain a continuous feedback loop to ensure the program evolves and improves over time.

IN CONCLUSION

  • Evaluating and boosting the performance of a healthcare service is an ongoing process that requires attention to various dimensions, including clinical effectiveness, patient safety, or patient experience…
  • Setting clear, measurable goals and fostering a culture of continuous improvement with strong leadership commitment is essential. By forming multidisciplinary teams, and prioritizing projects based on impact and feasibility, healthcare organizations can enhance their services. Regularly monitoring performance through key performance indicators and encouraging staff engagement and feedback further supports these efforts.
  • Ultimately, continuous improvement in healthcare leads to better patient outcomes, and increased satisfaction, ensuring that healthcare services remain effective and sustainable over the long term.
